Faculty Administrative Leave
Directors of CFIS institutes and centres may be eligible for administrative leave as noted in their letters of appointment. Administrative leave is granted at the discretion of the Principal and is subject to provisions noted by Faculty Relations and UBC Policies 21 and 22.
Application Form
An application for administrative leave may be downloaded in MS-Word format. Please note that faculty members with academic appointments in non-CFIS units may require approvals from their heads/directors and deans, as noted on the form.
Conditions of Administrative Leaves
The primary purpose of granting administrative leave is to allow a Director the opportunity to enhance her/his scholarship and to return to regular academic service as a scholar and a teacher.
If the administrative leave is granted, the faculty member must return to her/his duties at the University for a period of at least one year upon the expiration of the leave.
Years of administrative service and time on the administrative leave will not be included as years of service when calculating academic study leave.
Once the administraive leave has been granted it cannot normally be cancelled without sufficient notice.
Should the faculty member receive a fellowship, grant, or other outside support, the University may reduce its contribution until the total remuneration received is 100% of base academic salary.
The faculty member may apply to the Office of Research Services to receive a research grant in lieu of salary (form and instructions).
The faculty member may not accept employment, including teaching at another institution, either full-time or part-time, during the period of administrative leave without the express consent of the Dean/Principal of her/his academic Faculty.
If there are substantial modifications to the leave plan, the faculty member is required to inform the CFIS Principal and, if applicable, the Dean of her/his home Faculty.
At the end of the administrative leave, the faculty member will be required to report in writing to the CFIS Principal and the Head/Director of her/his academic unit on activities and progress during the administrative leave unless the CFIS Principal and Head/Director consent to some other form of report; and
If the faculty member is away from the Province of British Columbia for more than 12 months, her/his hospital and medical benefits will cease after 12 months following the month of departure. When she/he returns to B.C., there will be a waiting period of three months before these benefits are reinstated. During the period of non-coverage it is the faculty member's responsibility to cover hospital and medical benefits. Additionally, in order to be covered for medical and hospital coverage while the faculty member is out of the province of B.C., she/he must notify the Department of Financial Services, in writing, of the date of departure, the anticipated date of return and the province of Canada or the country in which she/he spend the leave (notice of absence form and notice of return form).
