Getting Signatures - What you need to do

The following signatures are required by UBC for all Grant applications and funded research:

  • Principal Investigator

  • Unit Director

  • Principal of the College

  • Office of Research Services or designate

  • In the event of the PI also being the Director of the Unit, please leave the Director's signature spot empty. 

The CFIS Research Manager will sign grant applications on behalf of ORS so applications do not need to be brought to the ORS office on Agronomy Road.  The CFIS Research Manager will be responsible for entering the application into the ORS database RiSE.

Each signature has legal and moral obligations associated with it  - see Policies and Procedures.

If the grant does not have space for these signatures or the sponsor does not require them, you are still required to provide them for UBC. Please use the ORS/UBC Signature Form Template (obtain from the ORS website).

You must bring in the COMPLETE application (excluding CVs) for signature to the Principal's office along with a condesed copy for Research Services.

 

The condensed application should include (excluding CVs):

1.  Title Page

2.  Signature Page(s)

3.  Abstract or Summary of Proposed Project

4.  Budget summary and all accompanying financial information

5.  In the case of cooperative projects, letters of support or commitment from collaborating companies or institutions

7.  Applications to Industry: a complete copy of the application is required

 

Please do NOT staple these pages together.

If funding is recieved without an official application first being signed, PI's must complete an internal ORS grant information form.  The GIF should be signed by the PI and Unit Director and emailed to Linda Leathley along with any back-up correspondence (emails or letters). Contracts and Agreements are processed and approved by UILO.  For funding that is received via a contract or agreement, a copy of the contract or agreement must be emailed to Linda Leathley along with a sponsored information form signed by the PI and Unit Director.

*Note: UILO will not process a contract or agreement without a signed sponsored information form.  Please contact Linda Leathley if you have any questions.

  • Any and all applications, regardless of urgency, that do not meet these requirements will be returned to the Applicant, unsigned, for correction.

CFIS signatures will be obtained within 7 working days (usually less). Please respect our internal time-lines. We appreciate that deadlines are tough, but it takes us time to review the application and arrange for errors to be rectified. The applicant is responsible for picking up the signed application and all copying/mailing thereafter.
