| CFIS Lunch and Learn Workshops |

Please note: the workshop on August 27 is cancelled.
CFIS is proud to announce its first lunch & learn series. Join us this summer to mingle with others doing the same work as you and to learn something new!
The workshops will take place every Thursday between July 23 to August 27 (inclusive) and are open to all CFIS staff.
Registration is not required. Seating is available on a first come, first served basis. Light refreshments will be provided, but participants are encouraged to bring a brown-bag lunch.
Workshop topics include: 1. Communication best practices 2. Overview of the research grant process 3. Appointing foreign academics 4. Conducting performance reviews 5. Working with development 6. Preparing a budget
All sessions will be held in the CK Choi Building room 129 or room 120 from 11:30am to 1:00pm. Workshop details follow below.
WEEK 1 Best practices in communications
Implementing communications best practices can be challenging in the university environment. Part of that challenge is in determining how your communications activities support your unit’s goals. And that requires strategic planning.
This workshop covers some basic best practices for strategic communications planning, through the prism of both internal communications and marketing communications activities. The workshop is designed for CFIS staff who manage communications and marketing responsibilities for their unit or program.
The session will cover:
- defining terms, including "best practices"
- setting communication goals & measurable objectives in support of your organization’s goals
- what if your unit/program doesn’t have clear goals?
- putting it into practice (group workshop to define goals and objectives)

WEEK 2 Overview of the research grant process
Researchers at the leading edge requires strong administrative support in order to accomplish their goals. CFIS staff can offer practical guidance and support to Researchers in their endeavors by providing assistance with the grant application process.
This workshop is designed for CFIS staff who are involved with the research grant process.
The session will cover the following:
- an overview of the research grant application process
- deadlines and paperwork requirements
- obtaining signatures
- services offered by the Principal’s Office, Office of Research Services, and the University Liaison Industry Office
The format of the session will be informal and participants are encouraged to ask questions.

WEEK 3 Appointing foreign academics
Foreign academics provide vital contributions to the academic and social environments at UBC. As federal requirements for foreign workers change, university practices are adjusted to follow suit.
This workshop is designed for CFIS staff who anticipate appointing or reappointing foreign academics in the following ranks:
- visiting faculty members and visiting scholars
- research associates
- postdoctoral fellows
- limited-term professors (not in the tenure stream)
The session will cover the following:
- an overview of the immigration process;
- dealing with unsolicited requests from prospective visitors;
- paperwork requirements when appointing a foreign academic; and
- reappointing foreign academics.
The format of the session will be informal and participants are encouraged to ask questions.

WEEK 4 Conducting performance reviews
Performance reviews are typically conducted twice during a probation period and then on an annual basis to measure the employee's performance against expected skills, knowledge and competencies for the assigned position. Meetings are interactive but are typically conducted by the supervisor delivering the message and the employee listening and responding.
This workshop is designed for CFIS managers who currently supervise staff.
Through discussion, group exercises, and role-play, participants will:
- develop an understanding of the performance management process
- learn how to deal with performance concerns
- find out more about performance review forms that are available

WEEK 5 Working with Development
Attracting and retaining people (including individuals, foundations, corporations, granting agencies, and NGOs) who want to support UBC projects involving students, faculty, research, programs, capital, or endowments, is a central and important task of the UBC Development and Alumni Engagement portfolio. This is the key focus of the Development Team within CFIS (known affectionately as the Seafish Group). Understanding the development strategy (identification, cultivation, solicitation, and stewardship cycle) and process for handling incoming funds is a useful and valuable reference tool for all CFIS staff. As UBC prepares to move towards a major fund raising campaign in the future, this knowledge will be even more important.
This workshop is designed for CFIS staff who anticipate working with faculty/researchers/students to:
develop project proposals (case statements)
identify potential sources of funding (donors)
process incoming funds
prepare reports to donors/interfacing with donors
work with alumni The session will cover the following:
- an overview of the fund-raising process
- dealing with requests for project proposals and donor reports
- paperwork involved in processing incoming funds
- working with alumni and current students as future alumni
The format of the session will be informal, and participants are encouraged to ask questions.
